Budgeting for 2026: The True Cost of Events

When churches start building their 2026 budget, one of the first lines that gets filled in is events. Whether it’s a fall festival, youth retreat, or a weekend conference, events are often the heartbeat of community life. An example: A youth retreat might cost $200 per student all-in, but the church charges $100 to make it more accessible. That $100 gap per student has to show up somewhere in the budget. Multiply that by 50 students, and you have a $5,000 line item that could easily be overlooked.


And don’t forget discounts or scholarships. If your church regularly provides reduced rates for families who can’t afford the full fee, those costs need to be pre-budgeted, not absorbed at the last minute.
